Overview

Groups is looking for an organized and self-motivated, Provider and Project Support Manager,  who will be responsible for providing administrative support to our Medical Providers, Office Managers, and Regional Directors. This role works closely with the Regional Medical Director, Regional Directors, and Operations Director to ensure that Groups is a great place for providers to work, and to ensure that providers are a great asset to Groups mission. 

 

To be successful in this position you should be detail-oriented, professional, able to solve problems independently, have excellent written and verbal communication skills, exceptional customer service skills, and demonstrate the ability to navigate and problem solve under pressure. Empathy, efficiency, and ability to balance multiple priorities are essential.

The Provider and Project Support Manager will assist the operational team with project management on an as needed and ongoing basis.

Responsibilities

Responsibilities (as relevant):

 

Provider screening/ onboarding:

  • Ensure providers have sufficient support, have completed all administrative tasks and assist them on the first day of employment (for telehealth, VC/screenshare necessary).
    • Additional responsibilities include:
      • Schedule initial training and shadowing sessions
      • Ensure adequate technical and clinical support at initial clinical sessions.
      • Assist in triaging the many questions that arise during the first month
      • Become proficient in basic provider eCW functions so you can quickly answer common questions of new hires.
      • Make recommendations to the State Director and Recruiting on how to shape the new-provider pipeline to best serve the needs of the business.
      • Participate in the provider new hire interview/screening process in collaboration with the Medical Director.
      • Cultivate a positive team environment where our mission and values come to life.

 

Provider group scheduling

  • Create and maintain a statewide master provider group schedule to ensure optimal compliance with DEA regulations, billing regulations, and regular attendance. 
  • Partner with the local Regional Directors, Sr. Office Managers, and Office Managers to implement the above schedule and troubleshoot the specific needs of local offices and providers, while maintaining a holistic view over the needs of the entire market.
  • Assist in determining what supply of providers is needed to meet demand from offices.

 

Provider payroll, costs, and credentialing status:

  • Oversee provider payroll data collection, data analysis, and reporting.
  • Enter Provider payroll bi-weekly.
  • Make recommendations to the Operations Director and leadership based on the trends gleaned from the above analysis.
  • With support from the Operations Director and Regional Directors, serve as the liaison for providers for questions about payroll procedures. 
  • Review and monitor the credentialing trackers for all providers to assist with start dates and identifying credentialing challenges. 

 

Ongoing provider training and resources:

  • Be the liaison and first “go to” for 1099 providers to answer questions and provide assistance with issues related to technology, scheduling, or other aspects of their role.
  • After onboarding: assist Training, Compliance, and theRegional Medical Director in disseminating ongoing training materials, new policies, and other updates to providers - especially those who are difficult to reach.
  • With the support of the Regional Medical Director, maintain a helpful library of provider resources and best practices.
  • Responsible for connecting with the Medical Director and OperationsDirectors on a regular basis to discuss communication and training needs.
  • Responsible for working closely with the Medical and Operations Directors to establish a consistent communication cadence with the providers.

 

 

1099 Providers and PT Providers Coverage

  • Responsible for finding coverage for any provider out on PTO or due to illness. 
  • Responsible for solidifying provider group coverage and tracking provider availability.

 

Project Management (when applicable)

  • Develop Long and short term plans, including setting targets for milestones and adhering to deadlines.
  • Delegate tasks on the project to employees best positioned to complete them.
  • Perform quality control on the project throughout development to maintain the standard expected
  • Adjust schedules and targets on projects as needed

Qualifications

Qualifications:

  • Bachelor’s degree
  • 2 years experience working directly with provides in an administrative capacity
  • 2 year of scheduling oversight experience, preferably in a clinical setting
  • Project Management experience (preferred)
